Where someone provides us with personal information about another individual, the person providing it must be authorised to do so and should ensure that the individual understands that their information may be provided to and used by TangoEvents AU.

5. Why We Collect and Use Personal Information

We may collect and use personal information to:

  • operate, maintain and secure the TangoEvents AU website;
  • assess, verify, approve and publish event listings;
  • create and maintain organiser profiles;
  • communicate with organisers, submitters, advertisers and website users;
  • process event changes, cancellations, postponements and corrections;

  • prevent spam, scraping, abusive activity and unauthorised automated access;
  • analyse and improve our website, calendars and services;
  • manage and promote events operated by TangoEvents AU;
  • comply with legal, regulatory, insurance, accounting and administrative obligations; and
  • protect the legitimate interests, rights and safety of TangoEvents AU, organisers, website users and the public.

We will not use personal information for an unrelated purpose unless you have consented, the use would reasonably be expected and is permitted by law, or the use is otherwise required or authorised by law.

6. Publication of Event and Organiser Information

TangoEvents AU operates a public event-calendar website. Information submitted for an approved event or organiser profile may therefore be published and made available to anyone using the Internet.

Published organiser contact information may include:

  • one organiser telephone number;
  • one organiser email address; and
  • one official website address.

These contact details are associated with the organiser and may appear on the organiser’s profile and across all events listed under that organiser. Different contact details cannot ordinarily be assigned to individual events.

Organisers must only submit contact details that:

  • they are authorised to provide;
  • are suitable for public display;
  • relate to the relevant organiser, school, association, business or event; and
  • comply with our Editorial Guidelines.

Social media pages or profiles, including Facebook, Instagram, Linktree and similar platforms, are not accepted as official organiser website addresses.

Organisers should not submit private residential addresses, private identification documents, personal financial details or other information that is not intended for public display.

Business-registration documents, identity evidence and similar verification records supplied to us will not ordinarily be published.

Because published event and organiser information is publicly accessible, it may be copied, indexed, cached or archived by search engines and other third parties outside our control. Removal from TangoEvents AU may not immediately remove copies retained by search engines, archives or other websites.

7. Communications, Newsletters and Organiser Notices

We may send:

  • administrative messages relating to event submissions and organiser profiles;
  • requests to review, confirm or update published information;
  • notices about changes, cancellations, suspensions or policy requirements;
  • responses to enquiries or complaints;
  • newsletters and event updates;
  • information about TangoEvents AU activities; and
  • promotional communications where permitted.

Administrative communications that are necessary to manage an organiser profile, event submission, advertising service or transaction may not contain an unsubscribe option where they are not commercial messages.

You may unsubscribe from newsletters and marketing communications by:

  • using the unsubscribe link included in the relevant message;
  • contacting us through the TangoEvents AU contact form; or
  • emailing admin@tangoevents.au.

We will process unsubscribe requests within the period required by applicable law. Unsubscribing from marketing communications will not prevent us from sending necessary administrative, transactional or service-related messages.

8. Cookies and Similar Technologies

Our website may use cookies and similar technologies to:

  • provide essential website functionality;
  • remember user preferences;
  • maintain website security;
  • reduce spam, scraping and abusive activity;
  • understand website traffic and usage;
  • improve website performance and usability;
  • display maps and event locations; and
  • support forms, newsletters and other website services.

Cookies are small files stored on your device. Some cookies are necessary for the website to function, while others may support analytics or third-party functionality.

You can configure your browser to reject or delete cookies. Disabling certain cookies may affect the operation or availability of parts of the website.

Third-party services embedded in or linked from the website may place their own cookies or collect technical information in accordance with their respective privacy policies.

9. When We Disclose Personal Information

We may disclose or make personal information available:

  • by publishing approved organiser and event information on the TangoEvents AU website;
  • to website hosting, maintenance and security providers;
  • to email-delivery and newsletter providers;
  • to website-form, spam-prevention and security providers;
  • to mapping and location-service providers;
  • to analytics and website-performance providers;
  • to payment, banking and accounting providers;
  • to professional advisers, insurers, auditors and technical consultants;
  • to government, law-enforcement or regulatory bodies where required or authorised by law;
  • where necessary to investigate suspected fraud, misuse, infringement or security incidents;
  • where necessary to protect our rights, website users, organisers or the public;
  • where reasonably necessary to operate an event or service you have requested; or
  • with your consent or at your direction.

We do not sell personal information.

Service providers may only receive information reasonably necessary for them to perform their services. Their handling of personal information may also be governed by their own privacy policies and contractual obligations.

9.1 Morena Dancewear Pty Ltd

Morena Dancewear Pty Ltd provides financial support to TangoEvents AU. Personal information is not disclosed to Morena Dancewear Pty Ltd merely because it provides that support.

If Morena Dancewear Pty Ltd separately provides a service, promotion, competition, transaction or event involving the collection or use of personal information, any relevant disclosure will be explained at the time or otherwise handled in accordance with this Privacy Notice and applicable law.

10. Overseas Disclosure and Storage

Some service providers used by TangoEvents AU may store or process information outside Australia.

Website hosting, email, newsletter, mapping, analytics, security, cloud-service or payment providers may use servers located in Australia, the United States, the European Union or other countries in which those providers operate.

The privacy protections available in another country may differ from those available in Australia. Where reasonably practicable, we select reputable service providers and take reasonable steps to ensure that personal information is handled appropriately.

By using our website or providing information to us, you acknowledge that the operation of electronic services may involve overseas processing or storage.

11. Data Security

We take reasonable administrative, technical and organisational measures to protect personal information from:

  • misuse;
  • interference;
  • loss;
  • unauthorised access;
  • unauthorised modification; and
  • unauthorised disclosure.

Our security measures may include:

  • access controls;
  • password protection;
  • secure website connections;
  • website security and firewall services;
  • software maintenance and updates;
  • spam and malicious-activity controls;
  • restricted administrative access;
  • the use of reputable service providers; and
  • backup and recovery procedures.

No website, email system, database or Internet transmission is completely secure. We cannot guarantee absolute security, and information transmitted electronically is provided at your own risk.

You should not send sensitive identification documents, complete financial details or confidential information through ordinary email unless we specifically request the information and provide an appropriate method for submitting it.

12. Data Breaches

Where we become aware of a suspected data breach, we will assess the incident and take reasonable steps to contain, investigate and respond to it.

Where the Notifiable Data Breaches scheme or another legal notification requirement applies, we will notify affected individuals and the Office of the Australian Information Commissioner as required.

13. How Long We Keep Personal Information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including:

  • maintaining current and historical event records;
  • administering organiser profiles;
  • managing events, advertising and other services;
  • resolving disputes, enquiries or complaints;
  • maintaining evidence of submissions, permissions and amendments;
  • satisfying legal, insurance, accounting and recordkeeping obligations;
  • maintaining newsletter consent and unsubscribe records;
  • protecting website and email security; and
  • enforcing our Terms and Conditions and Editorial Guidelines.

Retention periods may vary according to the nature of the information and the reason it was collected.

When personal information is no longer reasonably required, we will take reasonable steps to delete, destroy or de-identify it, unless continued retention is required or permitted by law.

Removal of an event or organiser listing from public view does not necessarily require the immediate deletion of all associated administrative records.

14. Access to and Correction of Personal Information

You may contact us to:

  • request access to personal information we hold about you;
  • request correction of information that is inaccurate, incomplete, out of date, irrelevant or misleading;
  • request an update to publicly displayed organiser contact details;
  • request removal of personal information from a public listing; or
  • ask how your personal information has been used or disclosed.

We may need to verify your identity and authority before processing a request.

Where a request concerns an organiser, school, business or association, we may also need to verify that you are authorised to act for that entity.

We will respond within a reasonable period. In some circumstances, applicable law may permit or require us to refuse access or correction. Where appropriate, we will explain the reason for the refusal.

Organiser contact details may be shared across all events associated with that organiser. A requested change may therefore affect multiple event listings.

15. Accuracy of Information

We take reasonable steps to ensure that personal information we use and publish is accurate, current and complete.

Event organisers and submitters are responsible for:

  • providing accurate and complete information;
  • promptly advising us of changes;
  • notifying us of event cancellations or postponements;
  • ensuring submitted contact details remain current;
  • ensuring they remain authorised to publish the information; and
  • checking their published events and organiser profiles.

We may independently check publicly available sources to determine whether an event or organiser listing remains accurate.

Where information cannot be verified, appears outdated or does not comply with our Editorial Guidelines, we may amend, suspend or remove the relevant listing.

16. Third-Party Websites and Services

Our website may contain links to event organisers, venues, ticketing services, advertisers, mapping services and other third-party websites.

TangoEvents AU does not control the privacy, security or content practices of third parties. This Privacy Notice does not apply to information collected directly by those third parties.

You should review the privacy policy and terms of any external website before providing personal information.

A link from TangoEvents AU does not necessarily constitute endorsement of the third party, its services or its privacy practices.

17. Children and Young People

TangoEvents AU is a public event calendar that may be viewed by people of any age.

Event submissions, organiser profiles, advertising requests and other formal submissions must, however, be made by a person aged 18 years or older or by an appropriately authorised adult representative.

We do not knowingly request personal information directly from children for the purpose of creating organiser profiles or event submissions.

Where an event submission includes the name, photograph or other personal information of a person under 18 years of age, the submitter must have all necessary authority and consent to provide and publish that information.

Please contact us if you believe that personal information relating to a child has been submitted or published without proper authority.

18. Sensitive Information

We do not ordinarily require sensitive information, such as information about health, racial or ethnic origin, political opinions, religious beliefs, sexual orientation, criminal records or biometric information.

Please do not submit sensitive information unless it is genuinely necessary and we have requested or agreed to receive it.

Where sensitive information is provided, we will handle it only for the relevant purpose and in accordance with applicable law.

19. Privacy Enquiries and Complaints

You may contact us if you have a question or complaint about:

  • how we collect, use or disclose personal information;
  • information published on an event or organiser listing;
  • an access or correction request;
  • unwanted communications;
  • the security of personal information; or
  • an alleged breach of this Privacy Notice or applicable privacy law.

Please provide sufficient information for us to understand and investigate the matter. We may ask you to verify your identity or provide additional information.

We will acknowledge, assess and respond to privacy complaints within a reasonable period.

Where applicable, if you are not satisfied with our response, you may be entitled to contact the Office of the Australian Information Commissioner or another relevant regulator.
